Working with Speakers

We would like to ideally have about one speaker a month.

Sourcing Speakers

  • Hack for LA/Community of Practice Alumni
    • People you know directly and/or referal that were at Hack for LA
    • Contact them directly via Slack/Linkedin/Email, or another member who knows the person better/suggested can connect a CoP lead.
  • Utilizing Linkedin
    • Connect and message them via Linkedin messenger
  • Connections from previous speakers
    • Speakers may say they have someone in mind that could speak with us.

Communicating with speakers

  • We meet with speakers ahead of time if they are not familiar with the Community of Practice to explain how Hack for LA and Engineering CoP works.
  • We review with them how the meeting and Q&A will work
  • We send a list of collated questions from Engineering GitHub Issue within two weeks of event
  • Ask and confirm consent that the speaker is willing to have their talk and material recorded for Engineering CoP. (For members that may miss the talk) refer to resources for template consent form
  • Send speakers a calendar invite for the CoP meeting
  • And send a final reminder of meeting via email beforehand

Announce the speaker

  • In the template issue Generate Questions there is a simple Slack template, can be modded or updated as needed, for anouncement of speaker
  • The issues generated for each speaker to collect questions for speaker will be attached to tacking issue Guest Speaker Question Tracker

During the speaker's talk

Webinar format:

  • Record the meeting, if you have permission
    • Enable closed captioning
  • Briefly introduce the speaker and their background or a simple introduction of speaker and ask if they would give brief background
  • Ask Engineering members attending Q&A to post "query" in the chat to ask a question. Then call on them to ask it when it is their turn
  • If members are not asking questions, co-leads can ask from the list of questions.

After the talk

  • Condense resources to wiki
  • Get feedback from members about event

Below are the questions that our members generated for you. Hopefully this will give you some direction of how to prepare something based upon these questions. Feel free to make it as casual as you would like. However, if you would like to present some formal slides, you are more than welcome!

Brief to send to Speaker
  • 20-25 minutes for talk/presentation
  • Questions from members will be taken after talk. All participants will be muted during talk (by HLFA Co-leads).
  • If guest speaker would like to extend talk over 20-25 minutes, we can split the session into two parts across two separate weeks.
  • After 7pm, the Zoom room may close to accommodate another meeting.
