Sync meeting T5.1 support portal (2023-06-02)

Attending: Lara, Kenneth, Killian, Elisabeth, Alan, Bob, Thomas, Caspar

  • JIRA (software) vs JIRA Service Desk
    • experience by several partners
    • free version is limited, other options are pricey
    • self-hosting not an option anymore very soon (and still pricey)
    • no support for mixing of public/private issues
  • GitHub
    • lots of experience by several partners
    • no support for mixing of public/private issues
    • account required (except for using third-party software)
  • Bugzilla
    • (very) limited experience among partners
    • requires self-hosting
    • no support for mixing of public/private issues
  • Redmine
    • very similar to Bugzilla, main difference is support via contractors
    • no support for mixing of public/private issues
  • GitLab
    • open source, so can self-host
    • some features not available for free version - also only 5 users per namespace for free version
      • doesn't apply to self-hosted
      • could consider having only 1 account per partner
    • experience by several partners
    • does support for mixing of public/private issues
  • Request Tracker (RT)
    • (very) limited experience among partners
    • pricey beyond free, which only has limited support
    • no support for mixing of public/private issues
  • OTRS
    • no free tiers, so definitely cost
    • some experience among partners
    • no support for mixing of public/private issues
  • options for self-hosting
    • may be possible at SURF - Caspar can ask
      • should be possible to give others admin access to the VM
    • looking at others that host their own GitLab, can explore our options there
      • just need to make sure we have the necessary features enabled
      • for example GitLab EUDAT, or via CASTIEL2
    • Alan has some experience with maintaining a self-hosted GitLab instance
      • fairly limited effort, but you need to keep up with updates
    • can start with free tier, with option to migrate to self-hosted later
  • is mixing of private/public a must-have or a nice-to-have?
  • which must-haves is GitLab free missing?
    • only 5 user limit would require us to get creative
    • could do just have one account per partner
  • can we easily export all data and migrate to another GitLab instance (from Free to self-hosted)?
  • self-hosting also implies maintenance
    • implies updating the software, but also taking backups, etc.
  • continue with only GitLab for now
