Org Invoices

Org Invoices

For some time now, I have used org-mode to generate invoices for billing clients. This functionality has consisted mainly of a bunch of very hacky elisp functions, some yasnippet snippets and some ugly \Latex hacks.

The time has come to try and clean this up into something a little more refined and robust. While I don’t plan to create an ELPA package or contribute it to org-mode, I thought others might find it useful. The approach is fairly straight-forward and I have found it works pretty well for my needs. Milage for others may differ!

Features

Based on what I ahve in my hacky colleciton of elisp functions and snippets, the following functionality should eventually make it into this repository. All I really need to do is clean up the code, remove site specific dependencies and hacks where possible and automate some minor functionality which is currently managed via manual editing. The basic idea is

  • For each client, you have a client org file that contains all the tasks to be completed for the client. These are basic TODO items.
  • Each client file has a Client heading where we track details regarding client contact information (address, phone number, contacts emails etc). A list of properties contains the name and address to be used on invoices.
  • Each client file contains a Notes section used for general notes.
  • Each client file contains a Tasks section. This is where the TODOS for the client are recorded. A capture template is defined for this, though the defulat org-mode template works fine.
  • Each client file has an Expenses section. This is used for recording any expenses incurred which need to be passed on to the client for payment (e.g. travel expenses, accommodation expenses, etc). An Expenses capture template is defined for capturing key details on expenses (such as links to additional documents, such as receipts, that may need to be included in expense submissions.
  • Each client file contains an Invoices sections where invoices are tracked. This section contains a property draw which contains details such as hourly rate for charging, last invoice number for automatic invoice number generation and the date covered in the last invoice. Inside this section are sub-sections for each invoice which contains summary details about the invoice (e.g. invoice period, expenses added to the invoice, hours/items included in the invoice and a link to the org file which contains the actual invoice and is the source for the PDF version of the invoice).
  • Finally, the client file contains a Clocks section, which contains a clock table which includes a summary of all time spent on tasks for the client.

Other sections can be added to the client file as required. The above are the required sections. A yasnippet template is used to generate new client files and setup the initial configuration.

When the time comes to generate a new invoice, you run the new invoice command, which looks for any clocked work done since the last invoice was generated and creates a new invoice with the new data. The generated invoice contains a services section which summarises up to 3 levels of Tasks, adding the times and multiplying that by the charge rate for the client to come up with a total. The invoicing process supports the ability to add a tax (VAT or GST tax) based on a rate set in the Invoices property section. This amount is added to the total to get a final charge. Any expenses which have not been submitted are then added (with an Expenses section added to the invoice) to reach a final total due amount.

Installation

At this stage, the easiest way to install this module is probably to use git clone and then add the src directory to your load-path variable. Alternatively, put the org-invoicing.el file in a directory which is already in your load-path. You should then be able to load it by doing a (require ‘org-invoicing).

In addition to the oi-invoice.el file, there is also a Latex class file called invoicing.sty in the latex directory of the repository. This file needs to be placed somewhere on your system and the oi-invoice-style variable needs to be customized to point to that file.

Configuration

Once you have loaded the file, do M-x customize-group <ret> org-invoicing <ret> to set up a few things. In particular, you need to customise the following variables -

oi-company
a plist of details about your company or consultancy e.g. name, address, phone number, email address
oi-invoice-style
a path to the invoice.sty file. Should not include the .sty extension. Must be a fully resolved filename.

This library is a very opinionated library and does not have the extensive customisation support of the rest of org, at least not without hacking the elisp code. One area in particular which must conform to a specific format is the client org file. The library assumes the existence of specific tables, properties and headlines. Additional heading and tables can be added, but it must have a core basic layout. A basic example follows.
